Information you provide
Quote requests
When you request a quote, we collect all information and files you enter, select, or upload through the form. This may include your name, company, email address, telephone number, service requested, material, quantity, part dimensions, finish, requested timing, project description, photographs, drawings, and other project files. We use this information to review your project, contact you, prepare a quote, schedule work, and maintain related business records.
Job applications
When you apply for work, we collect all information and files you enter, select, or upload through the form. This may include your name, email address, telephone number, current-employment answer, availability, positions of interest, work experience, other application answers, and any résumé or CV you choose to submit. We use this information only for recruiting, hiring, employment administration, security, and related legal purposes. Application files are restricted to authorized staff.
Email, telephone, and other communications
If you contact us, we may keep the information you provide and our response so we can answer your request, provide service, and maintain normal business records.
Website chatbot
When you submit a question to the Salt City Metal Coatings website chatbot, we keep the question, the chatbot's reply, the date and time, the Salt City page you were viewing, a randomly generated request number, and an anonymous visitor identifier. If you are signed in to WordPress, we may also record your WordPress user number.
We use the visitor's network address to obtain an approximate city, state or region, and country from the IPWhois geolocation service. We use this general location information to understand where customer interest comes from and improve our marketing. IP-based location is approximate and may be inaccurate, particularly when a visitor uses a mobile network, business network, proxy, or virtual private network.
We do not retain the visitor's raw IP address in the chatbot log. We also do not retain a postal code, precise latitude or longitude, cookie identifier, email address, browser or device fingerprint, or full referring URL in that log. The raw network address is transmitted securely to IPWhois only to obtain the approximate location.
We use chatbot records to monitor and improve the assistant, diagnose problems, prevent abuse, and understand general customer interest. When a programmed Salt City answer is not available, the question is sent to OpenAI to generate an answer. Salt City's API request sets store to false, so the generated response is not kept as OpenAI application state for later API retrieval. OpenAI may retain prompts, responses, and related metadata in abuse-monitoring logs for up to 30 days under its standard API data controls. OpenAI states that API data is not used to train or improve its models unless the account holder expressly chooses to share that data.
Salt City's chatbot records are available only to authorized administrators and are automatically removed after 30 days. Please do not enter personal, confidential, financial, employment, medical, or project-sensitive information in the chatbot. Use the appropriate quote-request or job-application form when you need to send project details or employment information.
Information collected automatically
Our website, hosting provider, security tools, and analytics services may automatically receive technical information such as your network address, browser type, device type, operating system, pages visited, referring page, approximate general location, and the date and time of a visit. We use this information to operate and secure the website, detect abuse, measure website performance, understand how people find and use the site, and improve our marketing.
Salt City also creates one private anonymous visitor record per network address per day for public website visits. That record contains the date and time, the first Salt City page visited that day, an anonymous identifier produced from the network address, and the approximate city, state or region, and country supplied by IPWhois. Signed-in WordPress users and recognized automated bots are excluded. We use these records to prepare an internal weekly map and summary showing the general locations of website visitors and chatbot activity.
The raw network address is transmitted securely to IPWhois to obtain the approximate location but is not written to Salt City's visitor log. The log does not contain a postal code, precise latitude or longitude, cookie identifier, email address, browser or device fingerprint, user-agent string, or full referring URL. Approximate visitor records are available only to authorized administrators and are automatically removed after 30 days.
Cookies
The website may use cookies and similar local browser storage for essential site functions, security, saved login sessions, preferences, and website analytics. Authorized users who sign in to WordPress receive login and administration cookies. You can limit or delete cookies through your browser settings, but doing so may prevent some website features from working correctly.

Service providers and information sharing
We may provide information to service providers that help us host, secure, maintain, analyze, or operate the website; send business email; process submitted forms; obtain approximate network geolocation; or generate chatbot answers. These providers may process information only as needed to provide their services and under their own applicable terms and privacy policies.
The website and chatbot use IPWhois for approximate network geolocation and OpenAI for certain answers. Website analytics and security services may also receive ordinary technical website data.
We may disclose information when required by law, legal process, or a lawful government request; to investigate fraud, abuse, or security incidents; to protect legal rights or safety; or as part of a business transfer or reorganization.
How long we keep information
Chatbot and approximate website-visitor log records are automatically removed after 30 days. Other records are kept only as long as reasonably needed for the purposes described in this notice, normal business operations, warranty or customer-service needs, hiring and employment administration, dispute resolution, security, and legal, tax, insurance, or recordkeeping requirements. Backup copies may remain for a limited period until normal backup rotation removes them.
Security
We use reasonable administrative and technical safeguards appropriate to the information we maintain. These include access controls for private WordPress records and protected storage for uploaded job-application files. No website or electronic transmission can be guaranteed completely secure.
Your choices and requests
You may ask what personal information we maintain about you, request a correction, or request deletion when the information is not needed for a legal or legitimate business purpose. We may need to verify your identity before completing a request. Some information must be retained when required for business, employment, tax, safety, insurance, dispute-resolution, security, or legal purposes.
You may use the website without submitting a quote request, job application, or chatbot question. Visiting a public page creates the limited anonymous visitor record described above. If you do not want a chatbot exchange logged, do not submit a chatbot question; contact us by telephone or email instead.
Children's privacy
This business website is not directed to children under 13, and we do not knowingly use it to collect personal information from children under 13. A parent or guardian who believes a child submitted information may contact us to request its removal.
Changes to this notice
We may update this notice when our website, business practices, or legal obligations change. The effective date at the top identifies the current version.
