What to Send for a Powder Coating Quote

Sep 15, 2026 | Quoting

A useful powder coating quote begins with enough information to understand the part, its present condition, and the finish you need. You do not need a perfect engineering package for every custom job, but clear photos, dimensions, material, quantity, and finish requirements reduce back-and-forth questions.

Use this checklist before sending a request. If you do not know an answer, say so. The coating shop can then identify what must be checked.

1. Identify the part and metal

State whether the part is steel, aluminum, galvanized metal, cast metal, or another material if known. Include approximate length, width, height, and weight when weight affects handling. For repeat manufactured parts, attach the current drawing revision and part number.

A photo should show the whole part. Add closer views of welds, threaded holes, corners, damaged areas, and any existing finish. Place a tape measure in one photo when a drawing is unavailable, but also write the dimensions so they are easy to read.

2. Give the quantity and repeat schedule

Say how many parts are included in the first order and whether the job may repeat. One prototype, a batch of 25 brackets, and a recurring production order require different planning. If parts arrive in lots, describe the expected lot size and frequency.

3. Describe the surface as it is now

Note rust, mill scale, oil, old paint, previous powder coating, adhesive, weld residue, body filler, or repairs. Do not clean or alter a questionable surface merely to improve the quote photos. The actual starting condition helps determine the preparation plan.

The Powder Coating Institute explains that parts must be clean so later pretreatment steps can work properly. Preparation depends on the substrate, contamination, and required performance, so a quote should not assume that one method fits every part.

4. Define the finish and service conditions

Give the desired color, gloss, texture, and any reference sample or specification. Explain whether the part will be indoors or outdoors and whether appearance, abrasion, corrosion exposure, electrical contact, or frequent handling is important. A digital photo can communicate direction, but it should not be treated as an exact color standard.

5. Mark areas that must stay uncoated

Identify threads, bearing seats, electrical grounds, mating faces, tight-fit holes, and other areas that may need masking. A marked-up photo or drawing is usually clearer than a note saying “mask as needed.” Include the mating part or a sample when fit is critical.

6. Give realistic timing and delivery details

State when the parts will be ready, when they are needed, and whether you will deliver and collect them. If another operation must happen after coating, such as assembly or inspection, mention it. The requested date is a planning input, not a confirmed turnaround promise.
